Music Therapy & Art Therapy: Membership Policies

We require our clients to pay for the upcoming month to best meet the needs of our clients and therapists.  Our therapists are holding a specific day/time for clients each week and it is very difficult to fill that spot if clients cancel.  We do not reimburse for missed sessions, as your spot is held for you and only you.  We DO NOT guarantee make-up sessions.  That being said, if you have provided your therapist with at least 24 hours notice of your absence, you will be eligible to be added to our make-up waitlist system that will automatically send a text when we have a cancellation during your available hours. If we do offer you a make-up session, we may limit it to 2 make-up sessions per semester (Fall, Spring, and Summer) in order to give other clients the opportunity to schedule their make-up sessions. If more availability becomes available, we will do our best to schedule additional make-up sessions. In our new building, we have 4 different rooms, so the availability of our therapists will be greatly increased. See our Make-up Policy Guide for more detailed information.  If you know you will be on vacation during a certain week, please inform your therapist as soon as you know.  

Membership Perks:

  • Members receive 2 FREE Recording Sessions per calendar year! You will have the option to record songs during two of your sessions per year. Enjoy a lasting memory of your song that you can send to family/friends or proudly listen to at home! This will replace one of your regular sessions and be held at the same time as your regular lesson.
  • Members receive first priority to sign up for our specialized groups AND 20% off these groups (this is for our pop up events or speciality groups only; does not apply to ongoing repeating groups). We anticipate these small specialized groups to fill up quickly and members always get access to book these before the general public.

Additional Information:

  • There will be 4 or 5 months out of the calendar year that will have 5 sessions. You do not get charged extra for those months! The rate stays the same each month.
  • If your appointment falls on a day we are closed for a holiday or the therapist is absent, you will be offered a make-up session. This does not count toward your 2 make-up limit per semester.  If a time can’t be arranged, you will receive a credit on your account. Wellness Creative is closed on the following holidays: Memorial Day, Fourth of July,  Labor Day, Thanksgiving, Christmas Eve, Christmas, and New Years Day. 

Prices:

30 minute weekly therapy sessions: $187 per month

45 minute weekly therapy sessions: $278 per month

60 minute weekly therapy sessions: $369 per month


We require your credit card to be stored on file with us and it will automatically be charged on the 15th of each month for the upcoming month. Wellness Creative requires a 2-week notice to stop all therapy sessions. 

Therapy Make-up Policy / Snow Days

Make-up Policy for Client Absences: 

*Wellness Creative does NOT guarantee make-up sessions. 

Clients may receive up to 2 make-up sessions per semester, within the semester of absence, (Fall, Spring, & Summer) IF BOTH of the following criteria are met: 

1.) Wellness Creative is notified of the client’s absence at least 24 hours in advance of the client’s regular lesson time, AND 

2.) The therapist has an opening in their regular schedule due to another client’s absence. 

Note: We do NOT offer make-up sessions for no call/no show sessions. 


If you have a pre-planned future absence, please let your therapist know as soon as possible so they can offer another client a make-up lesson during your open time slot. 


Wellness Creative charges on the 15th of the month for the entire upcoming month. To drop your sessions completely, please fill out a cancellation form at the office or online (you can email our admin assistant for the form: admin@wellness-therapy-services.com). 


Note for Therapist Absences For Groups: If attending group therapy, and the therapist is absent, a substitute will be provided. If a sub is not available, therapists will arrange make-up sessions. 


Therapist Absences for Private Therapy: Due to the sensitive nature of private therapy, a sub will not be provided for individual clients. Instead, therapists will arrange make-up sessions. 


Snow Days: 

On any days that our Wellness Creative facilities need to close due to inclement weather, sessions will be offered virtually (at your regular session time) 

Questions About Therapy Make-up Policy for CLIENT Absences

All therapists have a regular weekly schedule based on their availability. Their schedule remains the same throughout the year. 


Whenever a client is eligible for a make-up (we will go over eligibility below), we will send a link via email to set up your general availability. When a therapist gets an opening in their regular schedule due to a client’s absence, an automatic text or email will be sent to all clients who have listed that time as available for a make-up (clients can choose text, email, or both when signing up). These appointments are first come, first serve and won’t be available if another client on the make-up list books this spot first. Once a client has redeemed 2 make-up sessions for that semester, they will be removed from the cancellation list to insure that other clients get an opportunity for a make-up session.  Additional make-ups beyond the 2 per-semester limit, may be scheduled at the discretion of the instructor and their availability. 


If a client gives at least 24 hours notice to their therapist that their client will be absent, that client is eligible for a make-up. All therapists track every client’s absence, reason for absence, and amount of notice given. 


As an example, if Ms. Alaina receives notice that her 4:30-5pm client will be absent, in order for her to fill the spot with an eligible client on the make-up list and leave time for the client to respond, she has to… 

1.) Not be teaching when she receives notice of the client’s absence (hence the 24 hours notice). Our Wellness Creative therapists do not spend time contacting other clients when they are in sessions teaching another child. 

2.) Have enough time for eligible clients to receive the make-up opening and get a response. For example, if Ms. Alaina enters a cancellation in our system in the morning, a client may not see the text/email until after their work day is over. All of this takes time, and the understanding that both clients and therapists are not always able to immediately respond. 


Using the Miss Alaina example, Wellness Creative can’t guarantee make-ups for client absences because therapists cannot guarantee that the times in their regular schedule that become open due to another client’s absence will always work perfectly in another client’s schedule. Therapists also cannot guarantee that all of their clients' clients will always give at least 24 hours notice so that therapists have time to offer all of their open time slots to clients needing make-ups. 


In addition to all of the reasons above, we want to be 100 percent fair to all of our clients, so for example, we do not want to offer 6 make-up spots to 1 client that has missed 6 times in one semester, and NOT offer any make-ups to other clients who have only missed 2. All of our clients deserve the chance for a make-up, so we limit it to up to 2 per semester, to give all of our absent clients (who were eligible) a chance to make up 2 sessions. 


Our process of eligibility still applies for all of the reasons above, BUT IF a therapist has already offered make-ups to all of the eligible clients on their make-up list, THEN they can offer a client who was sick a make-up. We understand that clients can get sick unexpectedly, and that it isn’t possible to give 24 hours notice in those specific circumstances, and that is why we offer this option. Again, the 24 hours notice is in place simply because of the time it takes to update our schedule and get responses from clients. And more importantly, because we do not want therapists updating the schedule while they are teaching other clients in sessions.  If these therapists get last-minute notice while they are teaching, they will not have time to check their phones or email to open the spot up for another client needing a make-up. 


Spring Semester: January 1st through May 31st 

Summer Semester: June 1st through July 31st

Fall Semester: August 1st through December 31st


Please note that we group our semesters by these dates in order to determine the maximum number of make up sessions. When you sign up for our program, you will continue receiving services into the next semester unless you decide to cancel. We require a 2 week notice to stop sessions.

Sibling Discount:

If a family has more than one student enrolled in an active membership for ANY services in our program, any additional siblings who enroll in private music lessons will receive 5% off their membership (Discount does not apply to the first active membership. Discount applies to private music lessons only; discount is not eligible for music therapy, art therapy, speciality groups, or semi-private lessons or group lessons )

Additional Fees:

If you choose to participate in our recital/showcase, the cost is $15 per recital. If you have multiple children enrolled in our program, the cost for each additional sibling is $10 per recital. 

Music Lesson Make-Up Policy / Snow Days

2.) The instructor has an opening in their regular teaching schedule due to another student’s absence.
